District IV Board Responsibilities

All board officers and committee members must be current member of CPRS

EXECUTIVE BOARD

President (Automatic appointment; one year commitment; voting member)
• Preside at all board meetings
• Prepare agenda and forward to Communications Officer to distribute
• Represent membership
• Appoint committees and chairs
• Appoint audit committee
• Appoint budget committee
• Serve as ex-officio member of all committees
• Submit the annual budget to CPRS
• One of two signatures on checks
• Represent District IV at CPRS State Board meetings, as necessary
• Chair annual board retreat

President-Elect (Elected appointment; 2 year commitment, second year as President; voting member)
• Assume duties as directed by the President
• Assume the unexpired term of President in the event of resignation or death of the President
• Signs checks in absence of President
• Chair of Nominations and Elections committee
• Chair of Bay Area Institute/ Mini Conference (Fall Training Forum)
• Chair of Audit Committee
• Budget committee member

Vice President of Communications (Elected appointment; 1 year commitment; voting member)
• Record and distribute minutes of all Board and business meetings
• Maintain all records and letters of value
• Notify members of meetings
• Write correspondence as directed by the President
• Order mailing labels from CPRS, as needed

Vice President of Finance (Elected appointment; 1 year commitment; voting member)
• Collect and deposit all funds for the District
• Submit written report of all monies
• Disburse funds as approved
• Maintain record of balance
• One of two signatures on checks
• Prepare and submit required records to CPRS
• Make records available for audit
• Responsible for registration process for Bay Area Institute/ Mini Conference, including collection of funds, name badges, and check-in.

Section Representatives  (Elected appointment; 2 year terms,  1 voting member/ section)

Administrators Section (even year)
Aging Section (odd year)
Aquatics Section (even year)
Commercial Section (even year )
Educators Section (SFSU & SJSU)
Park Operations Section (odd year )
Supervisors Section (even year )
Student Section (one representative from SFSU and SJSU annually)
Therapeutic Recreation Section (even year)
YTRS: (Selected by YTRS Board and appointed by President, 1 year term)

Section Representatives General Duties and Responsibilities
• Assume any duties assigned by President
• Act as a liaison between the Section you represent and the District.
• Attend and actively participate in Board meetings
• Attend quarterly section meetings and provide verbal report of Section happenings at District IV board meetings
• Distribute information regarding Section educational opportunities, fundraisers and scholarships
• Participate in Section activities
• Serve as chair of workshop/clinic sponsored by District as related to particular section
• Secure sessions for the Bay Area Institute/ Mini Conference; Organize Breakfast Club meetings with topics of interest
• Submit articles for the RAP REPORT (Recreation and Park, Region 2 newsletter)
• Solicit CPRS and Section memberships
• Provide fundraiser items to the Ways & Means Committee, as needed
• Administrators Section Representative: Serve as Chair of Awards and Installation Banquet
• YTRS Representative: responsible for planning and implementation of summer training program, YAC Attack, Youth Advisory Conference, and monitors Jeri Fujimoto Shoe Fund

Committees: (appointed by President, 1 year term)

Membership
• Responsible for soliciting new members
• Responsible for obtaining and maintaining an up to date membership list
• Solicit agencies for directory information
• Prepare directory and distribute to all District agencies and members
• Request mailing labels from Vice President of Communications

Publications
• Produce quarterly regional newsletter (February, June, September, December)
• Provide information to CPRS regarding District Events
• Order mailing labels from Vice President Communications, as required

Website
• Quarterly, update the District website, including Board roster, calendar of events, etc)

Awards & Citations
• Determine date, time, facility to host annual event
• Keep event within established budget
• Prepare and distribute award nomination packets; applications and registration forms
• Evaluate applications and recommend recipients to the District
• Recruit a caterer to prepare the dinner
• Coordinate decorations
• Order Awards
• Prepare and print Awards Programs

Scholarship & Professional Grant
• Prepares announcements regarding Scholarships and Professional Grant programs
• Disseminates information to members and departments
• Select review boards
• Recommends recipients to board
• Prepares awards for presentation
• Coordinate new memberships for award recipients with CPRS and District VP Finance
• Coordinate Annual Installation and Awards Event

Mentorship
• Prepare mentor and mentee applications
• Present Mentor program to San Francisco and San Jose State Universities
• Evaluate applications and recommend links between mentors and mentees
• Organize and event where mentors and mentees can come together for an initial meeting
• Quarterly, contact mentees to assure the relationship is a positive one
• Annually, evaluate the program

Marketing:
• Facilitate bi-monthly marketing meetings
• Report marketing happenings at district board meetings
• Assist with marketing CPRS District IV events

Ways & Means:
• Plan fundraising efforts (to meet or exceed District financial goals) associated with District events

o Bay Area Institute (Oct)
o Holiday Luncheon (Nov)
o Awards Banquet (Feb)
o Region 2 Conference Social (Mar)
o Installation & Scholarship Breakfast (Mar)

Golf
• Secure date, time, location to host event
• Incorporate golf promotion at District events
• Plan and facilitate event: publicity, registration, sponsorships, volunteers, rules/ contests/ scoring
• Report committee efforts at board meetings
• Prepare event evaluation with financial report

In Kind Services
• Solicit agency support for postage, printing, facility use, raffle prizes, etc
• Assist board members when they have a need for in-kind services

Legislative
• Become member of Legislative Network
• Become familiar with legislation pending acting regarding parks, recreation and community services
• Inform members of action items and recommend course of action
• Develop district network to assist with dissemination of information
